1.Acceptance of Terms#
These Terms & Conditions (the "Terms") are an agreement between you and KHAATA: Legal business or individual name ("we", "us") about your use of Khaata — Simple Business Tracker (the "app").
By downloading, installing or using the app you accept these Terms. If you do not accept them, do not use the app and please uninstall it.
Our Privacy Policy forms part of these Terms. Your use of the app is also subject to the rules of the app store you installed it from.
2.Description of Khaata#
Khaata is an offline-first business tracking app for Android and iOS. It is a tool for keeping your own records. Depending on the version you have, it lets you:
- Keep a list of products, including variants such as sizes, and track stock
- Record sales, purchases and expenses
- Generate bills and invoices you can print or share
- Keep records of customers and suppliers
- See profit and loss figures calculated from what you entered
- Work with Nepali (Bikram Sambat) and English (Gregorian) dates
- Create a backup file of your data, and restore from one
The app stores your records on your device. It is not an accounting system, a bookkeeping service, or a government-approved system of record. See section 8.
3.Eligibility#
You must be at least KHAATA: 18 years old to use Khaata, and you must have the legal capacity to enter into these Terms.
If you use the app on behalf of a business, you confirm that you are authorised to accept these Terms for that business, and "you" in these Terms means both you and that business.
You may not use the app if you are barred from doing so under the laws that apply to you.
4.User Accounts#
An account is optional. You can use Khaata to track your business without signing in. An account is needed only for features tied to your identity, such as requesting and holding Pro.
If you do create an account:
- You can sign in using Email and password, Google, Facebook.
- You must give accurate information and keep it up to date, and you may not create an account in someone else's name.
- You are responsible for keeping your credentials and your device secure, and for everything done through your account.
- Tell us promptly at pandeysandesh98@gmail.com if you believe your account has been used without your permission.
- You can ask us to delete your account at any time. See the Data Deletion page.
Signing out or deleting your account does not delete the business records held on your device — those are separate, and stay with you.
5.User Data and Business Records#
Everything you enter into Khaata belongs to you. We claim no ownership over it and, because it stays on your device, we have no access to it.
Backups are your responsibility. The app does not back up automatically and does not sync to any cloud service. The app can create a backup file that you save or send wherever you choose, and we strongly recommend doing so regularly and keeping the file somewhere safe. A backup contains your business records in readable form, so treat it as confidential.
Restoring a backup replaces the data currently on the device. Check that you are restoring the file you intend to before you confirm.
If you record information about other people in the app, such as customers or suppliers, you are responsible for having a lawful basis to do so and for complying with the data protection laws that apply to you. In relation to that information you are the controller, and we are not.
6.User Responsibilities#
When you use Khaata, you agree to:
- Use it only for lawful purposes and in line with these Terms
- Keep your device secure, and use the app lock if the device is shared
- Keep your own backups of anything you cannot afford to lose
- Check figures the app calculates before relying on them for tax, filings, pricing or any other decision
- Comply with the tax, invoicing, record-keeping and consumer laws that apply to your business
- Keep the app updated, since older versions may contain problems that newer ones fix
7.Accuracy of Information#
Khaata records and calculates from the information you enter. It cannot detect a typo, a missed sale, a wrong price or a duplicated entry, and totals, profit figures and stock levels are only as accurate as the entries behind them.
You are responsible for the accuracy and completeness of your records and of any bill, invoice or report you produce with the app, including any tax figures shown on them. Review anything before you give it to a customer or an authority.
We do not warrant that calculations, conversions between the Nepali and Gregorian calendars, or generated documents are free from error, and we are not responsible for decisions you make based on them.
8.Financial and Business Disclaimer#
Specifically, you acknowledge that:
- The app is not a substitute for a qualified accountant, auditor, tax adviser or lawyer, and using it does not create any professional relationship between us.
- Figures such as profit, loss, margin, stock value and tax amounts are arithmetic performed on your entries. They are not verified, audited or certified by anyone.
- The app does not guarantee that your records satisfy the statutory bookkeeping, invoicing or retention requirements of your country. You must confirm that yourself.
- Bills and invoices generated by the app may not meet the formal requirements of your tax authority. Check before issuing them.
- We give no guarantee of business results. You are solely responsible for the commercial decisions you make.
Before relying on the app's output for anything that matters — filings, audits, loans, disputes — have it reviewed by a qualified professional in your jurisdiction.
9.App Availability#
We provide Khaata on an as-available basis. Most of the app works offline, so it keeps running without a connection. The parts that need the internet — signing in, checking premium status and loading ads — may be unavailable at times.
We do not promise the app will always be available, uninterrupted or error-free. We may suspend, withdraw or discontinue the app or any feature, in whole or in part, at any time. If we discontinue it entirely, we will try to give reasonable notice so you can create a backup of your data.
Availability also depends on things outside our control, including your device, your operating system version, your internet connection and the app stores.
10.Updates and Changes#
We may release updates that add, change or remove features, fix problems or improve security. Depending on your settings, your device may install updates automatically.
Some updates may change how data is stored on your device. We recommend creating a backup before updating. We may stop supporting older versions of the app, or older operating system versions, and an unsupported version may stop working correctly.
We may also change or remove features that are free today, including the scope of the free version.
11.Advertising#
Khaata is funded by advertising. The free version displays banner ads supplied by a third-party advertising network.
- Ads are requested through the network described in section 5 of our Privacy Policy, and are non-personalised by default.
- Pro removes ads. Pro is requested on our website, at /pro, from the same account you use in the app; if we approve the request we attach Pro to that account for the period we grant, which may have an end date or none at all. Pro is tied to that account and may not be resold, shared or transferred.
- The app has no in-app purchase or payment flow, and neither does this website — there is no checkout. Pro is arranged directly with us after you send a request. The price, the payment method and the refund position are those stated on our Pro page at the time you make your request.
- We do not endorse advertisers or what they advertise, and we are not responsible for their products, services, websites or content. Any dealing with an advertiser is between you and them.
- You may not interfere with, block within the app, automate clicks on, or otherwise manipulate the ads. Doing so may end your access.
12.Third-Party Services#
Khaata relies on services operated by other companies — currently Google AdMob (Google Mobile Ads SDK), Supabase, Google Play, Apple App Store. Your use of the app also involves your device's operating system and any app you share a bill or backup with.
Those services are governed by their own terms and privacy policies, which are linked in section 13 of our Privacy Policy. We do not control them and are not responsible for them. If a third-party service changes, fails or becomes unavailable, features that depend on it may stop working.
Where you sign in with Google or Facebook, that sign-in is subject to that provider's terms as well as ours.
13.Intellectual Property#
The app itself — its software, design, name, logo, text and graphics — belongs to KHAATA: Legal business or individual name or its licensors and is protected by intellectual property law.
Subject to these Terms, we grant you a limited, personal, non-exclusive, non-transferable, revocable licence to install and use one copy of the app on devices you own or control, for your own business purposes. That is a licence to use the app, not a sale of it.
You may not:
- Copy, modify, translate or create derivative works of the app
- Reverse engineer, decompile or disassemble it, except where the law expressly permits that despite this restriction
- Rent, lease, lend, sell, sublicense or distribute the app
- Remove or obscure any copyright, trademark or other proprietary notice
- Use our name or logo without our written permission
The data you enter remains yours. Nothing in this section gives us any right over your business records.
14.Prohibited Activities#
You agree not to:
- Use the app for anything unlawful, fraudulent or deceptive
- Keep records in the app for the purpose of evading tax or misleading an authority, a lender or a customer
- Attempt to gain unauthorised access to our systems, other users' accounts, or any data that is not yours
- Submit a Pro request on someone else's behalf or with false details, share or resell Pro access granted to your account, or otherwise bypass premium checks or the request process
- Manipulate, block or artificially interact with advertising
- Interfere with the app's operation, or probe, scan or test its security or that of the services it depends on
- Use automated tools to interact with the app or our services at a scale that could burden them
- Distribute a modified version of the app, or malware through it
- Impersonate anyone or misrepresent your affiliation
15.Termination#
You may stop using Khaata at any time by uninstalling it, and you can ask us to delete your account at any time.
We may suspend or end your access to account-based features, including Pro, if you materially breach these Terms — for example by abusing the Pro request process or manipulating advertising — or if we are required to by law. Where it is reasonable to do so, we will tell you why.
Ending your account does not remove the app or the data on your device; you keep both. Sections that by their nature should survive termination — including sections 13, 16, 17, 18 and 20 — continue to apply.
16.Disclaimer of Warranties#
To the fullest extent permitted by law, Khaata is provided "as is" and "as available", without warranties of any kind, whether express, implied or statutory.
We specifically disclaim implied warranties of merchantability, fitness for a particular purpose, title and non-infringement. We do not warrant that:
- The app will meet your requirements or expectations
- It will be uninterrupted, timely, secure or error-free
- Any calculation, figure or generated document will be accurate or complete
- Defects will be corrected
- Your data will not be lost or corrupted
Some jurisdictions do not allow the exclusion of certain warranties, so some of the above may not apply to you. Nothing in these Terms removes consumer rights that cannot be waived under the law that applies to you.
17.Limitation of Liability#
To the fullest extent permitted by law, we will not be liable for any indirect, incidental, special, consequential, exemplary or punitive damages, or for any loss of profits, revenue, goodwill, business opportunity, or loss or corruption of data, arising out of or connected with your use of Khaata, even if we have been advised that such damages are possible.
In particular, we are not liable for:
- Loss of business records caused by device loss, theft, damage, reset, operating system behaviour, or uninstalling the app without a backup
- Decisions you took, or penalties, interest or assessments you incurred, in reliance on figures or documents produced by the app
- Errors in data you entered, or in records you failed to enter
- Unavailability of the app, or of any third-party service it depends on
- Anything an advertiser or third-party service does
Where liability cannot be excluded, our total aggregate liability arising out of or relating to the app is limited to the greater of the amount you paid, if anything, for Khaata in the twelve months before the event giving rise to the claim, or the equivalent of ten US dollars.
Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be limited.
18.Indemnification#
You agree to indemnify and hold harmless KHAATA: Legal business or individual name and anyone acting on our behalf against claims, damages, losses, liabilities and reasonable legal costs arising from:
- Your use of the app in breach of these Terms or of any law
- The records you keep in the app, including personal information about other people, and the documents you issue from it
- Your infringement of anyone's rights
- A dispute between you and a customer, supplier or authority
We will tell you promptly about any such claim and will not settle it in a way that imposes an obligation on you without your consent.
19.Changes to Terms#
We may update these Terms as the app changes or as the law requires. When we do, we update the "Last updated" date at the top of this page and publish the revised Terms at this same address.
For material changes we will give notice that is reasonable in the circumstances, such as a notice in the app or an email to the address on your account. Continuing to use Khaata after the changes take effect means you accept them. If you do not accept them, stop using the app and uninstall it.
